Tools and ideas for hosting a Virtual Gala! 

The First Image Gala is the most substantial opportunity you have to invite your community to turn its attention to those whom First Image has the privilege to serve. Choosing to host a group of friends and family is an excellent way to invite new people into the mission as well as deepen the engagement of those already connected.

Ways to Host

What is a DIY Gala? Many of us have had to creative in celebrating important milestones and staying connected. Why not add a Gala to the list?! The possibilities are endless, but here are some suggested options for structuring your evening. We hope you can have fun trying new things in order to support First Image.

Dinner 

Invite your friends and family to a full evening that includes dinner, the webcast and dessert. Your host basket will include some fun treats to enjoy for dessert so all you have to worry about is the meal. Make it as formal or casual as you want. Maybe you have your guests dress up and you pull out the china or maybe you have a “watch party” similar to a movie night complete with pizza and popcorn. The webcast begins at 7:00 PM with no breaks so we suggest starting your meal around 6 PM to allow for plenty of time to eat and talk before the webcast begins. 

Dessert

For many reasons, like timing or childcare, hosting a dessert night is more feasible. Some fun gathering ideas to consider are having drinks on the patio, bring-you-own Fall dessert, or even s’mores around the fire pit. We suggest inviting people over 30 minutes before the webcast at 6:30 PM to allow for setup and conversation before the webcast begins. 

Virtual 

Maybe you aren’t able to gather in-person with friends and family. Don’t let that stop you! Use the opportunity to invite those that wouldn’t normally be able to attend a Gala. There are different ways to meet online and watch the webcast together. Have a zoom meeting or group chat on your phone while using your computer to watch the webcast. Facebook and other platforms have new ways like “watch parties” to connect online. Check out our A/V Troubleshooting Guide below for more specifics.

Choosing Who to Invite

Invite those in your immediate community whom you already have a relationship with. Start with family, co-workers, and fellow church members/leaders.

  • If you have been wanting to get your church involved with this ministry, inviting your pastor or someone in leadership is a great opportunity to introduce them to exactly what First Image does.

Invite those who are passionate about life issues, the people who are hurting in our city, and those who want to spread the good news of Jesus.

  • There are many opportunities to serve within the ministry; the Gala is a good introduction and entry point for those who want to become more involved and put their passions to use.

The gala is an opportunity to raise vital funds and extend the reach of the ministry in our city. Don’t feel the need to invite only the people you think can write big checks. There are many ways to get involved!

Sample Invite

We encourage you to invite potential guests as soon as possible as calendars fill up months in advance. One of the easier ways to keep track of guests is to send out a digital invitation using a site such as Evite or Paperless Post. You can customize an invitation, include details for the night, and send automated reminders. When your guests RSVP, please complete the basket order form with your food choices along with guest information.

Invite Details

First Image has a vital, gospel-centered and life-giving ministry in our local area. Join us as we enjoy a live webcast filled with stories of hope and healing, fellowship, and more benefiting the ministry of First Image!

The webcast will include stories from our three programs as well as feature First Image’s Medical Director, Dr. Drea Olmstead, who works to equip our PRC staff and volunteers to provide life-giving counsel and services to women and their babies. You will have a chance to hear her poignant personal story of living out her faith as a Christian OB/GYN in today’s cultural climate.

Please note that the Gala is an opportunity for people to support the ministry of First Image through volunteering, prayer, networking, or financial giving. If God has placed any of those on your heart, we invite you to come to the Gala as our honored guests.

After the Event

A personal thank you will go a long way! Make sure to follow-up with your guests with a phone call, email, or card thanking them for attending. If they had any questions, remember to get them connected with us. A good way to keep momentum going is to invite your guests to attend a center tour; we hope to have regular tours going again soon. You can also ask for any feedback that they had, both good and bad. We always value constructive criticism and aim to make our events better.
